Email signatures can contain written content, company fonts, images, and dynamic content (such as social media icons and award logos). Companies use email signature software to improve their content marketing strategy by presenting information in targeted ways that engage email recipients. Email signature software is different from e-signature software, which gives users the ability to gather signatures on documents shared electronically, eliminating the need for physical documents to record signatures. Email signature software creates and manages email signatures for organizations looking to consistently represent their brand within an email.

Email signature software products can be considered an email signature generator or an email signature manager. Email signature generators are typically used by companies that have smaller budgets, or no budget at all. While email signature generators are usually free, they are also limited in functionality, as compared to email signature managers. Email signature generators enable businesses to create branded email signatures quickly by inputting information including name, phone number, website URL, etc. From there, the email signature generator formats an email signature and these signatures can be copied and pasted into email signature settings in email software.

Email signature managers provide more robust features and functionality as compared to email signature generators. These solutions allow for email signature management of multiple brands and can automatically replace unapproved brand assets with current versions, without having to ask employees to change their signature. Additionally, email signature managers can capture data on clicks in the signature and push this data into other marketing technology software, like marketing automation software. Email signature software is most often used on top of standard email applications as well as CRM applications.

To qualify for inclusion in the Email Signature category, a product must:

Allow for customized subgroups or departments
If an email signature manager, provide the ability to centrally create, deploy, and manage email signatures
