Our experience with Bill.com has been extremely disappointing. Their verification process is an absolute nightmare — we were asked to submit the same documents 4-5 times, and even after doing so, they continued to flag issues without providing any clear resolution.
What made this worse was the quality of their support. Every interaction with their support team felt like going in circles — no real ownership, no actionable guidance, just the same scripted responses that don’t actually address the problem. It's clear that their internal processes and customer support infrastructure are broken.
We chose Bill.com expecting it to simplify our AR workflows — instead, it created more headaches and delays. We’ve wasted far too much time on something that should be straightforward. The Bill has been a game-changer for our bookkeeping workload! It’s rare that a new app or technology actually delivers on its promises, but this system has exceeded our expectations. Our receipting process is smoother than ever—staff can snap an immediate picture of their receipt, eliminating the risk of losing it before turning it in to the office.

I absolutely love this app—so much so that finding any drawbacks is a challenge! If I had to point out one area for improvement, it would be the ease of use from the administrator’s perspective. While I’ve got the hang of navigating it now, the initial learning curve wasn’t entirely intuitive. That said, once you get familiar with the system, it’s smooth sailing! I love how easy it is to reconcile and submit an expense for approval. No need for separate expense reports, everything is at your fingertips to upload and review transaction details. BILL Spend & Expense is incredibly easy to use, which made onboarding and setup a smooth process from the start. One of its standout features is the budget tracking—it works exceptionally well for managing spending across multiple team members, giving clear visibility and control. With this, I am easily able to track employees spend, set specific budgets, and set up virtual cards so individual vendor payments don't go over budget. Tracking the status of charges, and supporting documentation is simple and the app works seamlessly. Review collected by and hosted on G2.com.
One issue I have is that there is not a direct connection to the accounting software I use. I am able to export transactions and upload to my accounting software, but a direct link would be better. I do use a specialty accounting software for nonprofits, but a connection would still be appreciated. I have also had staff say that they have run into PDFs that do not attach to the transactions in the portal, but I have not personally had this happen. It pairs with QuickBooks which makes reconciling expenses fast and easy. It also gives our employees real time budget updates so they always know where they stand. When using the app, the user can change the budget being used, sometimes without them knowing they did it. This will cause all future expenses to come out of the incorrect budget without their knowledge. I access the system daily and utilizing this system has cut down our expense processing time and made things much simpler. Having receipts uploaded has also made it so employees do not have to make a weekly trip to the office to drop reciepts off. It provides us with real time data which eliminates any delays. All information is transfered to our accounting system seamlessly and can be billed to customers quickly. Setup and integration was easy and support during the process was helpful. I wish there was a pay over time option for the card. Sometimes money flow can be slower and this option would be beneficial for small companies. It would also be beneficial to have a way to cusomize reminder messages or ask employees questions about charges directly from the charge itself. Review collected by and hosted on G2.com.
What I love most is the full control it gives me over spending, without micromanaging every transaction. BILL allows us to issue virtual and physical cards, set budgets in real-time, and track expenses. It's like giving every team member freedom. It's a clean design, intuitive, and made for real businesses, even creative ones like ours, not just accountants. The automation of recurring expenses, reimbursement flows, and quick sync with accounting software saves hours each week. It's been easy use enough we haven't had to use too much customer support. It’s not a dealbreaker, but the approval process for reimbursements can sometimes feel clunky, especially if multiple approvers are involved. We'd also love deeper integrations with some lesser-known financial tools and a bit more customization in reporting views. This is a great program to help manage different budgets for all the ministries at our church. Thins I love:
- That I can go in and edit budgets as needed.
- That the process is very simple to implement and for our cardholders to use.
- The website is pretty simple to navigate.
- That it has the option of adding a buffer for overspend. Review collected by and hosted on G2.com.
- The phone app is not as convenient to use as the website, especially for admins.
- I wish there were more options to set up your monthly statements. I know I can go to transactions and run filters or I can edit the Excel file, but it would be great to just get to customize your statement and save it in your settings.
- Our statement comes in on the 15th and payment is due 4 days later by the 19th. I'm a volunteer and usually only have the weekends to review church finances. I wish there was a full week available to pay your balance.
- I wish there was customer support on the weekends.

Most helpful is the easy way employees can enter their own charged and reimbursements expenses into Bill Spend and Expense. I then only have to review one screen to see all their activity. Review collected by and hosted on G2.com.
The smartphone app is a bit complicated or a bit non-intuitive. It is harder than it should be to tell what field you are in, what is required, and what is complete.
Also, when one enters all the required fields in and the transaction is complete, I would rather have a button to save or complete the transaction information than to have to use the back button. And if the app could indicate a transaction is complete with something other than a banner--like a change to the background or app frame, that would be very intuitive: red frame when not complete, green when complete, for instance.
