What is event creation?

Event creation is the process of developing a specific website, landing page, or portal to gather registrations for an upcoming event. Businesses often use event management platforms to plan for, organize, and create events.

In most cases, details are organized using different types of registration forms with various fields to support the data that needs to be collected during registration for attendance and proper planning. These tools make it possible for nothing to fall through the cracks.

Types of events

Event creation features can be used for many different types of virtual and in-person events. Some of the types of events include:

  • Professional: Events sponsored by organizations and held for employees or clients are generally considered professional events and may sometimes be referred to as corporate events. These can be for large or small audiences, depending on their purpose. These can include conferences, seminars, trade shows, product launches, and workshops. 
  • Entertainment: Typically, events in the entertainment category are held for amusement or enjoyment purposes. Examples are concerts, charities, festivals, fitness classes, sporting events, and outdoor activities. 
  • Personal or private: Often held for a specific audience and may not be open to the public. They’re generally invitation-only; however, an event creation tool can still be used. Personal or private events include weddings, birthdays, bar/bat mitzvahs, and quinceañeras.

While each event management software platform differs in terms of functionality, the basic steps for creating one follow a similar process no matter the platform. Here are the elements:

  • Type of event: An organization should first determine what event they plan to have. In addition to the registration process, circumstances could require tickets for entry, payment for tickets or registration, and VIP access. These components will impact how details are created within a software system. 
  • Key details: Specifics about the event include the title, category, location, and date and time. Additionally, event images and descriptions may be needed to build a landing page or portal. 
  • Registration form: The registration process allows attendees to sign up for an event. The amount of detail and type of information an attendee needs to provide to register could vary based on the kind of event but often includes some form of general contact information at a minimum. Event registration and ticketing software can streamline this initiative and help manage guest lists. 
  • Payment information: Payment options can be specified and added to a registration process if payment is required to attend. Online payment options should always be secure and use encryption to protect registrant data.

Event creation best practices

The event creation process is one of the most crucial parts of hosting a successful event. Keep the following best practices top of mind:

  • Keep it simple and easy. Don’t overthink the event details or make the registration process difficult. Keep the process simple so attendees can register and attend easily.
  • Provide contact information for assistance. Include a point of contact for registrants to reach out to for registration assistance, event questions, and support. Contact information should be easily accessible and clear.
  • Test an event before launching it. Double-check the event details and registration process for accuracy before opening an event up to registrants. For example, if an event requires payment as part of the registration, make sure the payment options work and that the event form doesn’t allow registrants to proceed without payment.
  • Take advantage of opportunities to include branding. Customize event landing pages, websites, and portals as much as possible to include company branding for brand recognition and loyalty.
